Buying secondhand goods requires verifying the customer's identity. In Toreca Cloud, you can't create stock and payout until identity verification is recorded. Customers can submit documents through a form, or the shop can check documents itself and record the result.

## Have the customer submit documents through a form

1. **Send the form link**

    Under **Request shipment** on the deal's **Shipping** tab is a link to one
    form for the customer's details, identity documents and shipping label. Send
    it on LINE using **Copy link** or **Draft message**. The link isn't sent
    automatically.

2. **The customer submits documents**

    The customer chooses a document type on the form and sends photos. For a
    driver's license, they also take face photos in addition to the front and
    back.

3. **Check the documents**

    Submitted documents appear in To do as a **Form response**, and the
    Dashboard counts them under **ID documents awaiting review**. On the review
    screen, compare the document images with the name, date of birth, occupation
    and address in the customer record.

4. **Approve**

    If everything matches, click **Approve** and then **Confirm approval**. The
    identity verification is recorded and linked to the deal.

Submitting documents doesn't verify the customer by itself. Always check and approve them in the shop.

The form accepts a driver's license, My Number card, passport or residence card. To make a new link, click **Reissue link**; the old link stops working.

### Ask for documents again

If an image is blurry, a document is cut off or expired, or something else is wrong, click **Request resubmission**. Choose a reason and click **Request resubmission** to confirm. The customer can resubmit from the same link.

You can't approve while the customer record is missing a name, date of birth, occupation or address. Check the customer details first.

### See documents awaiting review

Click the **ID documents awaiting review** count on the Dashboard to open the identity verification list. Filter it by **Pending approval**, **Needs resubmission** and so on. Click **Review documents** to open the review screen for that submission.

## Check documents in the shop and record them

When you've checked original documents, for example at the counter, record it under **Record identity verification** on the deal. Click **Add ID document**, choose the document type and upload the front. For a driver's license or residence card, upload the back as well. The identity verification is recorded right away.

## Identity verification and acceptance

Identity verification is usually done before you record acceptance of the final quote. If it isn't done yet, you can record the acceptance on its own with **Record acceptance only**, then record identity verification and continue to **Create stock and payout**. Owners, admins, Staff and Staff & researcher members can record and approve identity verification.

## When a power of attorney is needed

If the payout account isn't in the customer's name, a power of attorney is needed before the payout. In the CloudSign section of the deal, click **Create power of attorney in CloudSign** and send the document from CloudSign. Mark it **Mark as sent** when sent and **Mark as signed** when signed. The payout can't be approved until the power of attorney is signed, or an owner or admin chooses **Mark as not needed**.
