Members and roles
How to invite staff to your shop, what each role can do, and how to change roles or suspend access.
Invite the staff who work in your shop from Settings › Members. Each member has a role, and the role decides what they can do.
Roles
Permissions are fixed for each role and can’t be changed member by member. To see exactly what each role can do, check the Permissions table at the bottom of the Members page.
| Role | What they can do |
|---|---|
| Owner | Everything. The person who set up the shop is the owner |
| Admin | Everything the owner can, including approving payouts, changing settings and managing members |
| Staff | Day-to-day work on customers, deals, identity checks and inventory. Can’t approve payouts, change settings or manage members |
| Staff & researcher | Everything Staff can do, plus answering market research requests |
| Researcher | Mainly answers market research requests. Can only view other business data |
| Viewer | Can only view. Can’t change inventory either |
Only owners and admins can invite members, change roles or suspend access. Other members see the page as view only.
Invite a member
Open the invite dialog
Go to Settings › Members and click Invite member.
Enter an email and role
Enter the email address, and choose a Role: Staff, Viewer or Admin. Staff is selected by default.
Send the invite
Click Send invite. The invitation is emailed and appears under Invited on the page.
Invitations are valid for 7 days. For an invitation that hasn’t been accepted yet, open … on its row and choose Resend invite or Revoke invite. Resending extends the expiry. For what the invited person does, see Signing in and choosing a shop.
Change a role
Pick the new role in the Role column of the member list. The change applies right away. You can’t change the owner’s role or your own.
Suspend access
When someone stops working with you, suspend their access instead of deleting them.
Choose to suspend
Click ⋯ on the member’s row and choose Suspend access.
Enter a reason and confirm
Enter a Reason and confirm. Once suspended, they can’t use this shop’s console, API or MCP.
The records they left behind stay. Their cases aren’t reassigned automatically, so have another member take them over as needed. To let them back in, choose Restore access from the same menu. You can’t suspend the owner or yourself.
What the member list shows
The list shows each member’s name, email, role, two-factor status, last sign-in and status. Encourage members whose 2FA shows Not set to set it up; the steps are in Signing in and choosing a shop.
