Outbound, transfers and handovers
How to ship stock out for sale or oripas, move stock between your sites, and hand stock over to another business.
When stock leaves the shop or moves somewhere else, create a document under Inventory › Movements. Which one depends on what you’re doing.

Moving a unit to another shelf at the same site needs no document. Record it with Move unit on the unit, or Move to shelf in the Inventory list.
Outbound orders
An outbound order reserves the units you plan to take out, and you confirm it when they actually leave.
Create an outbound order
Open Outbound orders and click Create outbound order. If you select units in the Inventory list first and click Create outbound order there, those units are already filled in.
Enter the purpose and destination
Choose a Purpose: Oripa, Sale, Disposal, Correction or Other removal. Enter the Destination and Planned ship date, and pick or type a Reason.
Choose units and save
Under Units to ship out, choose units that are in stock, and save. They go On hold and can’t be used for anything else.
Ship out
When they actually leave, click Ship out on the order. Add a tracking number if needed. For sales and oripas, you can also record a Sale price (optional).
Shipping out changes each unit’s status according to the purpose: Sale and Oripa become Sold, Disposal becomes Disposed, and Correction and Other removal become Removed. Shipping out can’t be undone.
Once everything for the order is together, you can lock it with Mark as awaiting shipment. After that, units can’t be added or released. Orders with the purpose Disposal or Correction don’t have this step.
Cancel or release units
To call off the whole order, click Cancel order. Units on hold go back to In stock. To drop only some units, Release them from the order.
Bring taken-out stock back
For orders with the purpose Other removal, you can bring units back into stock with Restock after shipping out. Choose the shelf and a reason.
Site transfers
A site transfer sends stock from an origin site to a destination site. You can use it once you have two or more active sites.
Create a site transfer
Open Site transfers and click Create transfer. Choose the Origin and Destination.
Choose the units to move
Choose units that are in stock at the origin site.
Enter shipping details and ship
Enter the carrier, tracking number and reason, then click Record shipment. The units go In transit and leave their shelves.
Receive at the destination
At the destination, click Receive on the transfer and choose the receiving shelf and the units. You can also receive by scanning the arriving stock labels with the putaway app’s receiving screen.
Leave out any units that didn’t arrive when receiving, then send them back with Return to original shelf.
Tenant transfers
A tenant transfer hands stock over to another business using Toreca Cloud. First, link with that business under Settings › Business links. Only owners and admins can request and approve links.
Send a transfer
Open Tenant transfers and click Send transfer. Choose the Recipient and add a Note if you like. The other business can see the note.
Choose the units
Choose units that are in stock and send them. They go In transit.
The recipient accepts
The recipient chooses a receiving shelf and units, then clicks Accept. Once accepted, the units show as Transferred on your side.
If nothing arrived or the contents are wrong, the recipient can Reject the transfer, and the units go back to their original shelf on your side. You can withdraw units that haven’t been accepted yet with Cancel transfer.
The recipient gets the card, grade, certification number, condition note and cost. Customer details and purchase cases don’t carry over. When the two sides are different businesses, the transfer is recorded in both secondhand ledgers.
Partner allocations
Shops that use integrations can decide which units a partner may see and hold under Partner allocations. Choose a partner and the units, then click Allocate. For integration settings, see Integrations.
