Inventory overview
How the Inventory screens are organized, how sites and locations work, and how to find and act on individual stock units.
Every card you buy is recorded as its own stock unit. Each unit gets a QR label, and you track which site and shelf it’s on. Open the inventory screens from Inventory in the sidebar.
Sites and locations
Stock is placed at two levels: sites and locations.
- A site is a building, such as a store or warehouse. Its type is Store, Warehouse, Office, Consignee or Other.
- A location is a shelf inside a site. Each has a Shelf code, and its type is Receiving, Storage shelf, Showcase, Safe, Outbound staging or Other.
Set up sites and locations under Settings › Locations. If you have no sites yet, Create main store and receiving area creates a main store site with one receiving shelf and one storage shelf.
Cards you buy are first placed on the site’s Receiving shelf. From there, you label them and put them away on a storage shelf.
Turn on Use as customer shipping destination for a site so you can choose it as the address customers ship their cards to.
How the Inventory screens are organized
Inventory has four tabs.

Inside Movements, the menu on the left has Receipts, Receipt slips, Outbound orders, Site transfers and Tenant transfers. Shops that use integrations also see Partner allocations.
Use Switch site at the top right to choose which site to show. Your choice is remembered and becomes the default next time you open Inventory, record a receipt or start a stock count.
Find stock
The Inventory list can be shown as tiles or as a table. Use the buttons at the top to show only stock that’s Awaiting putaway, Unlabeled, Reprint needed or Needs action.
In the search box, enter a card name, card number, label number or asset number. A stock label number opens that unit; a shelf label number shows the stock on that shelf.
Under Filters on the left, filter by a card name’s initial (kana) or by PSA grade. More filters adds conditions such as shelf, set, rarity, when it was received, and market price range. Sort by market value, quantity, last received date or name.
Click a card to see its stock details: units in stock, market value, total cost, where it’s stored, and the units for each grade.
Unit statuses
The main statuses are below. Stock on hand means units that are In stock or On hold.

| Lost | Marked as lost and out of stock |
Units awaiting receipt
Cards you buy show Awaiting receipt until the payout’s receipt is confirmed. These units can’t be held, shipped out, sent on a site transfer or tenant transfer, or allocated to a partner. You can still print labels, put them away, move them between shelves and count them. How to record a receipt is covered in Payouts.
Work with a single unit
A unit’s page shows its label number, asset number, location, cost, market value and its full History. For a unit you bought, Open purchase case takes you back to the deal.
More actions at the top right offers:
- Move unit to record that you moved it to another shelf at the same site.
- Hold to reserve it as a one-unit outbound order.
- Mark as lost to take a missing unit out of stock. If it turns up, use Mark as found to put it back.
Under Condition tags and photos, you can add condition tags and upload front and back photos. Select several units in the Inventory list to use Move to shelf or Condition tags on all of them at once.
Owners, admins, Staff and Staff & researcher members can change inventory. Viewers can only look.
